The Opportunity

Empirical is seeking a proactive, self-motivated Administrative Assistant to support our Operations team in a remote environment. In this key role, you will manage a range of tasks including but not limited to contract creation, onboarding and offboarding processes, financial tracking, and customer support issues. You'll ensure smooth operations by maintaining accurate records, resolving hour tracking conflicts, handling payment preparations, and assisting in various administrative duties to support internal processes and efficiency. Importantly, you will have influence and responsibility over continuous process improvement to help us grow efficiently. This role is crucial for maintaining the effectiveness and confidentiality of our operational activities.

Your Qualifications and Experience

  • Demonstrated organizational skills, including managing calendars, schedules, and files efficiently.
  • Strong bilingual communication skills in English and Spanish.
  • Proven ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • High attention to detail in tasks such as proofreading, data entry, and document preparation.
  • Proficiency in computer skills, particularly Google Suite, Freshbooks and Notion.
  • Customer service orientation with a knack for handling inquiries and requests with professionalism.
  • Adaptability to manage various tasks and adjust priorities as needed.
  • Effective problem-solving skills, able to resolve routine issues and escalate complex problems appropriately.
  • Basic knowledge in accounting, familiar with bookkeeping tasks and invoice processing as well as common accounting software.
  • Experience and genuine interest in process improvement, optimizing administrative workflows.
